Procedures for Requesting an Ergonomic Workstation Adjustment

  1. The employee should first access the on-line self-adjustment ergonomic tools to review tips and make self-adjustments

  2. Should additional adjustments be required, the employee must discuss the ergonomic issue with his or her manager / team leader

  3. The manager / team leader will ask the employee to complete and return the ergonomic adjustment request form (DOC, 52 KB).

  4. If a medical indication is present an ergonomic assessment may be required. The manager / team leader can consult with the Regional OHS Advisor to discuss the request and next steps.

  5. If the employee is being referred to the ergonomic coach for an ergonomic adjustment, the manager / team leader must send the request form to an ergonomic coach, within five (5) working days of the request, in accordance with the established procedures for that workplace. Click here to find an ergonomic coach in your area. If ergo coaches are not yet available in your area, managers may contact their Regional OHS Advisors to discuss possible options.

  6. The ergonomic coach receives the request form from the manager / team leader and contacts the employee, within five (5) working days, to schedule the adjustment.

  7. The ergonomic coach carries out the ergonomic adjustment, within five (5) working days, from the date the employee is contacted, using the Ergonomic Adjustment Checklist.

  8. Once the ergonomic coach has conducted the ergo adjustment, he or she completes the Ergonomic Adjustment Checklist (DOC, 148 KB) and sends to the employee's manager / team leader within three to five (3-5) working days, from the date of the ergonomic adjustment.

  9. The manager / team leader will provide a copy of the report to the employee, review and discuss with the employee, within five to ten (5-10) working days of receiving the report.

  10. For clarification on any observations within the Ergonomic Adjustment Checklist, the manager / team leader should contact the ergonomic coach who conducted the adjustment, or consult the Regional OHS Advisor for additional advice or to discuss unresolved matters.

  11. The manager / team leader will facilitate the necessary changes to the workstations promptly to support the employee needs based on the ergonomic adjustments within five to ten (5-10) days of reviewing and discussing with the employee. At times delays may be experienced as a result of the involvement of other stakeholders, such as the Chief Financial Officer Branch.

  12. Once completed, the manager / team leader will sign the Ergonomic Adjustment Checklist and place a copy in the employee's personnel file.
