Boardroom Booking Services

We offer clients the choice of several rooms in which to hold their meetings. The rooms can accommodate any group from 4 to 80 people and are each equipped with a whiteboard, a flip chart, a telephone line and LAN connection.

National Capital Region (NCR)

  • As of June 11, 2018, all meeting rooms within the NCR are required to be booked using Employment and Social Development Canada’s (ESDC) new self-serve Outlook enabled Boardroom Booking System (BBS). To avoid any issues when using the Outlook BBS, please carefully follow the instructions for booking.

  • Please note the new naming convention for each meeting room in the Outlook BBS indicates the seating capacity and is displayed as the last numerical identifier (before the English suffix CONF.ESDC).

  • Available Video Conference Boardrooms
    • David MacDonald Boardroom, Phase IV (EDSC.CONF-Gatineau-PhaseIV-QC-01-DavidMacDonald-80-CONF.ESDC): ESDC has priority for this room and it requires a technician. When booking, a pop-up message will appear to provide an e-mail address to organize technical support.
    • Multi-Purpose Boardroom (EDSC.CONF-Gatineau-PhaseIV-QC-01-MultipurposeRoom-65-CONF.ESDC): ESDC has priority for this room and it requires a technician. When booking, a pop-up message will appear to provide an e-mail address to organize technical support.
    • Boardroom 3-1 (EDSC.CONF-Gatineau-PhaseIV-QC-03-1-13-CONF.ESDC): This boardroom does not require a technician. Information about its features, and how to use them, is available in the boardroom.
    • Boardroom 8C-133 (EDSC.CONF-Gatineau-PhaseIV-QC-08-8C133-20-CONF.ESDC): This boardroom does not require a technician. Information about its features, and how to use them, is available in the boardroom.
    • Boardroom 2D-525 (EDSC.CONF-Gatineau-PhaseIV-QC-02-D525-11-CONF.ESDC): This boardroom does not require a technician. Information about its features, and how to use them, is available in the boardroom.
    • Haythorne Boardroom, Phase II (ESDC.CONF-Gatineau-PhaseII-QC-11-HAYT-54-CONF.ESDC): The Labour program has priority over this boardroom. The room is already in the Outlook reservation system and requires a technician.
  • How to book the new Video conference Boardrooms:
    1. From your Outlook calendar, choose the New Meeting tab and not New Appointment tab. This will insert the boardroom resource automatically in your meeting invitation, and makes it possible to set up an Microsoft (MS) Teams or Web Ex meeting within the same invitation.
    2. You will receive an email confirming that the boardroom has been booked and explaining how to get assistance if required.

    Anyone can book these boardrooms. However priority goes to corporate executive committees (including the National Emergency Operations Centre). These groups can bump any meeting already scheduled.
