Leave without Pay (LWOP) - Self-funded leave

LWOP for self-funded leave is unpaid leave granted to an employee on manager approval and based on operational requirements for a period of six (6) to twelve (12) consecutive months. This type of leave allows indeterminate employees to defer up to 33.3% of their gross salary to a trust account, which will provide the employee income during the leave period. Employees must agree to return to work for a minimum period of time equivalent to the period of leave granted.

Alterna Saving Credit Union Limited (formerly the CS-COOP) accepts new applications for self-funded leave and administers the salary deferral arrangement.  Refer to the Self-Funded Leave Program for contact information.

Employees and Managers should review LWOP for six (6) or more days – General for important information that may apply to LWOP – Self-Funded Leave.

At the end of the leave period, employees and managers must refer to Returning to work after a period of LWOP (other types) on the day of the employee's return to work (or return to pay, i.e. vacation leave) depending on the situation. Advance notification will not be accepted.

  • Employee Responsibilities

    Employees must complete and sign the Application for Self-funded leave (TBS 330-109) and provide to their manager for approval and submission on your behalf.  It is important to start this process at least three (3) months before the effective date so that the salary deferral process is in place prior to your leave.

  • Manager / Section 34 Manager Responsibilities
    1. Approve and sign the Application for Self-funded leave (TBS 330-109) and open a request via the HRSC Portal:
      • Section: I am a Manager;
      • Select "Pay-Related Action";
      • Complete the Employee Information section;
      • Category: Select "Leave";
      • Sub-Category: Select "Self-funded Leave (SFL)"
      • Effective Date:   this is the start of the leave;
      • Additional Comments: Identify the type and period of leave, Ex. Self-funded leave for a period of 12 months starting on May 1, 20XX.
      • Attach the completed application
      • Submit your request

    Note: There is no need to complete a Pay Action Request (PAR) form. This will be done by the Compensation Services Directorate when the request is sent to the Pay Centre for processing.

  • Submit a Pay Escalation request
    • Employee Responsibility

      If you are experiencing a pay issue related to your self-funded leave, you must refer to the Pay Escalation Process  and, if deemed appropriate, submit an escalated pay issue request  using the category Escalated leave issue, sub-category LWOP more than 5 days (other).

    • Manager / Section 34 Manager responsibility

      If an employee is on leave or has been terminated and is experiencing a pay issue related to their self-funded leave, you must refer to the Pay Escalation Process and, if deemed appropriate, submit an escalated pay issue request  on their behalf using the category Escalated leave issue, sub-category LWOP more than 5 days (other).
