Review an Accommodation Request in myEMS (PeopleSoft) – Tutorial video for managers

Welcome to the "Review an Accommodation Request in myEMS PeopleSoft" tutorial, designed specifically for Managers. There are two ways to access an accommodation request sent to you for review.

You can access the desired accommodation request by clicking on the link provided in the automated e-mail received from myEMS (PeopleSoft), or you can access the Manager Self-Service homepage via the Employee Self-Service drop-down menu.

Let's begin.

Select the Accommodations Requests tile to open the Accommodation Request List page. This page contains a list of accommodation requests where you have been identified as the manager.

The displayed Information about each request will allow you to identify the request you wish to review.

For this example, employee Janet Doe submitted their request on October 15th, 2021 and it has not yet been reviewed, therefore we will look for the name Janet Doe, with the Request Date of October 15th, 2021, with the status of Submitted. Once the appropriate request is located, click on the chevron to open the request.

On the Accommodation Request page, review the data in the Request and Employee Information section.

The Request ID field displays the identification number of the request.

The Request Date field displays the date the request was initiated.

The Request Status field displays the current status of the request.

Please note that the Next Review Date indicates the date by which you must review the request. The Next Review Date only appears once you, the Manager, have updated the Accommodation Request Status page.

Review the Accommodation Description section; expand this section to view any instructions contained in the text box by clicking on the header.

Next, review all items in the Attachments section. The description of each attachment is located in the Attachment Description field. To open attachments contained in the Attachments section, click on the blue hyperlink.

Moving on to the bottom of the page you will find some additional information about the request. This information is for reference only; you will not have the option to access these fields and make changes.

To continue to the Accommodation Request Solution page, scroll up and click the Next button.

Review the Accommodation Measures instructions, and if applicable, click on the Add Accommodation Measure button to open the Accommodation Measures window.

Use the Accommodation Measure dropdown menu to select an accommodation measure, and then, enter a Measure Description in the text box provided. If you do not select an accommodation measure, you will not be able to save the record.

Use the Temporary Measure slider to indicate if the measure is temporary or not.

If you select Yes on the Temporary Measure slider, two additional required fields will appear.

Select an option by using the Reason for Temporary Measure drop down menu, then click on the calendar icon to select a Temporary Measure End Date.

If applicable, complete the Cost to Implement Measure field by entering the corresponding dollar amount, and then use the Accommodation Measure Status drop down to select the appropriate status.

When you have entered all of the desired information into the Accommodation Measures window, click the Save button to return to the request.

If you wish to add another measure, you can do so by clicking on the Add Accommodation Measure button.

If applicable, click on the Add Comments button to open the comments Window where you can enter any desired comments into the text box.

When you are done, click the Save button to return to the request. If you wish to add another comment, you can do so by clicking on the Add Another Comment button.

Next, review the instructions in the Accommodation Request Status section and then click on the Setting Status to Supported button. Or, if this request has a review history click the Review Accommodation Request button to open the Accommodation Request Status window.

To update the Accommodation Request Status you must first select a value from the Result of Review dropdown; next, enter an explanation into the Comment field.

You must then complete the Attestation section by using the slider and enter the Date of Conversation by using the Calendar icon.

Finally, Review and update the Request Status Review Period and Next Review Date, if applicable. Please note that these fields will NOT be visible if the selected Result of Review is Closed.

You can modify the Request Status Review Period by altering the number of days in the provided box and modify the Next Review Date by using the Calendar icon. These two fields are linked, if the period is changed, the date will change accordingly and vice versa.

Once completed, click on the Save button to return to the request.

A confirmation message will appear according to the selected Result of Review. Ensure to read this message carefully. Then, click OK to continue.

The review will appear as a new row and the status of the request will be updated.

Finally, click on the Save button at the top right hand of the screen.

Congratulations! You have successfully reviewed your employee's Accommodation Request in myEMS PeopleSoft.
