How to submit an Accommodation Request in myEMS (PeopleSoft) – Tutorial video for employees

Welcome to the "How to Submit an Accommodation Request in myEMS PeopleSoft" tutorial, designed specifically for employees. Let's begin.

On the Employee Self-Service homepage click on the Accommodation Requests tile to open the Accommodation Request List page.

If this is your first request, a message on the page will indicate that no accommodation requests have been created. Click on the "add request" button to create your accommodation request.

Or, If you already have an existing request, click on the plus sign to create a new request.

On the Accommodation Request page, review the data in the Request and Employee Information section at the top of the page.

The Request ID field displays the identification number for the specific request. It will be marked as all zeroes until you have saved or submitted your request.

The Request Date field displays the date the request is initiated. The date displayed here will be the current date.

The Request Status field displays the status of the request. The status will remain as Draft until the request has been submitted.

Your Classification, Department and Location fields will be displayed on the right hand side of the screen.

Once you have read the Important Information and Instructions sections carefully, select the Reason for Request using the drop down menu. You will note that there are several reasons for which a request can be made depending on your situation.

Read the instructions under the Accommodation Description section and fill out the text box accordingly.

Next, click the Save as Draft button at the top right hand corner of the page. Then, click OK to continue.

Saving a request as draft does not submit your request. This step must be completed to allow you to add attachments to your request.

Once the request has been saved as a draft, a Request ID will be assigned to your request in the Request and Employee Information section.

The Reason for Request selection determines if any additional information is required for your request. Ensure to follow the instructions carefully and add the requested details in each section.

For this example, we have chosen the Reason for Request of Disability and this has prompted an additional section to appear. Read the instructions under the Invisible Disability section and select a response from the dropdown menu.

If you wish to add an attachment, read the instructions under the Attachments section and click the Add Attachment button.

Next, the file Attachment pop-up window will display. Click on the My Device tile to upload an attachment from your device.

The file explorer will open. Browse your device, select the file you wish to upload, and click Open. The file will appear in the File Attachment pop-up window. Click the Upload button to continue.

Once the file has successfully uploaded you will see a green bar at the bottom of the pop-up window and a message of Upload Complete.

Click the Done button to continue.

The file will now appear in the Attachment section. To help the review of your request, enter a short description of your file in the Attachment Description field.

If you wish to add additional attachments to this request, you can do so by selecting the Add another attachment button.

Once you have uploaded the desired attachments, continue to the Supervisor Employee ID field.

The Supervisor Employee ID field will default to the manager you currently report to in myEMS (PeopleSoft).

If you need to select a different Supervisor, click on the Search icon.

In the Search Criteria section enter the desired information, click the Search button and then click on the row containing the appropriate Supervisor ID to proceed.

In this case, the correct Supervisor is already listed; we will click cancel to return to the request.

Review the information you have provided on your accommodation request and once you are satisfied click the Submit button.

A confirmation pop-up window will display. Select the Yes button to submit your request.

You will be returned to the Accommodation Request List page, where the Status and Next Review Date fields will now be updated.

Now that your request has been submitted, an automated e-mail will be sent to your manager.

Your manager is required to review the request by the Next Review Date. If the review is not completed on time, they will receive weekly follow-up e-mails. When your manager completes their review, you will receive an automated email notifying you of the next actions to take in PeopleSoft.

You now have access to the Accommodation Request Solution page. To access this page, click on the chevron to enter your request, then click next.

Using the Accommodation Request Solution page, you can add additional comments, review any measures or comments your manager has added, and once your manager has completed their portion, you can complete your attestation.
