    All employees are responsible for managing the information they collect, create and use to ensure that information is managed as a strategic business asset in support of program and service delivery in order to meet the departmental operational needs and accountabilities.

    What are my roles and responsibilities as an employee?

    • Complete mandatory IM training
    • Adopt the ESDC principle of Open by Default while ensuring that security, privacy, copyright and intellectual property are respected.
    • Document all business processes, activities and decisions.
    • Ensure that information that has business value (including email) is managed and maintained in a central location.
    • Regularly purge documents and email that are transitory and have no business value (exception: do not delete when there is an active ATIP request or litigation hold).
    • Enquire about how to apply GC and departmental information management policies, standards, procedures, directives, guidelines and tools for program and/or project development and oversight.
    • Contact your Branch/Region IM Lead/Broker for more information on how to implement information management into your business program and/or projects.

    As a manager, you must ensure that the information created by your employees is managed, safeguarded, accessible and useable through its life cycle.

    What are my roles and responsibilities as a manager?

    • Support implementation of IM policy, standards and guidelines in your line of business
    • Ensure that the management of information is included in each employee's performance agreement
    • Consult iService for tips, resources and best practices to help you better manage information
    • Know your Branch/Region IM Lead/Broker and reach out to them for IM advice and guidance

    How do I ensure I am fulfilling my responsibilities?

    • Whether you're managing a program or a project, the effective efficient management of information needs to be planned for in advance
    • Reach out to your Branch/Region IM Lead/Broker to help you build a folder structure within a corporate repository (e.g., SharePoint, network drive) to ensure that your team is saving information in a central location where it can be found, accessed and used

    Did you know?

    As a Branch/Region IM Lead/Broker, you play a significant role in ensuring that the departmental IM program is implemented within your branch/region. The Branch/Region IM Lead/Broker is the employee's first point of contact for all questions related to the management of information.

    What are my roles and responsibilities as a Branch/Region IM Lead/Broker?

    • Develop and deliver IM processes, services, advice and awareness at all levels within your Branch/Region
    • Understand information usage and requirements for your Branch/Region
    • Promote application and enforcement of IM policies and guidelines
    • Resolve and escalate IM issues to the Enterprise IM Team
    • Receive and deliver relevant IM training/coaching
    • Support change in your Branch/Region
    • Support and implement departmental IM initiatives within your Branch/Region

    • Enable and support the implementation of IM policy, standards and guidelines in your branch/directorates/divisions
    • Proactive disclosure of information through digitally enabled services that are open by design and accessible
    • Ensure that the management of information is included in each employee's performance agreement
    • Review and approve requests for the disposition of information (paper and electronic) under your care and custody

    • Ensure that the management of information is included in planning, risk management and resource allocations
    • Approve and support the implementation of a departmental IM Policy and supporting standards and guidelines
    • Overall accountability for the ESDC IM Program
    • Ensure senior management commitment to common standards and best practices for the management of information while driving progress and results
