Personalize Office 2016
Nearly every display setting in Office 2016 is adjustable and can be made to look more like what you are accustomed to.
General Office 2016 Settings
Change the Colour Scheme
- File > Options > General
- Select a preferred Office Theme
- Select the OK button to save
Edit the Quick Access Toolbar
- Select the dropdown arrow next to the Quick Access icons
- Select More Commands
- Use the buttons to Add or Remove
Outlook settings
Email and Calendar View Settings
- Reader Pane: View > Reading Pane
- To-Do Bar: View > To-Do Bar
Start Outlook with Calendar View
- File > Options > Advanced
- In the Outlook start and exit section, select Browse
- Choose the Calendar folder
- Select the sequence of OK buttons to save this change
Change the First Day of the Week
- File > Options > Calendar
- In the Work Time section, select First day of week
Add Gridlines to Email Listings
- View > View Settings > Other Settings…
- In the Grid Lines and Group Headings section, select Grid line style
Skype Settings
Create Tabbed Conversations (one tab for each)
- Options > Tools > Options > IM
- Uncheck Enable tabbed conversations
- Select the OK button to save this change
Expand/Condense the Contacts List
- Options > Tools > Options > Contacts List
- Choose an option in the Display my contacts with section
- Select the OK button to save this change
OneNote Settings
Notebook Pane (list of open notebooks)
To keep this list visible: select the first tab at top left to view a drop-down menu. Select the push-pin symbol in the top-right corner to maintain the Notebook pane as an open feature.

Outlook 2016
Attaching Files to Email
- Selecting Message > Attach File will display recent files you’ve opened. You can also select Browse This PC.
Pre-viewing attachments
- When you first open an attachment, you see a protected preview of what the file contains. To open the file normally, in the yellow message bar at the top select Enable Editing (but only if it is a sender you trust!).
New Skype Meeting
- While viewing your calendar, select Home > New Skype Meeting to insert an automated hyperlink into an event that all attendees can use.
Linking OneNote to a Calendar Event
- Select a calendar item and choose Appointment (or Meeting Series) to use the Meeting Notes option and open OneNote. It’s an easy way to associate OneNote activity with an event in your calendar.
Word 2016
Edit a PDF Document
- Select a PDF file to open it, as you would a Word document.
Respond to Comments
- Right-click another’s comment and choose Reply to Comment to describe the action you’ve taken.
Design and Layout Ribbon Menus
- The Page Layout ribbon menu is now divided across two new ones, called Design and Layout.
Excel 2016
Chart Recommendations
- Select a portion of your spreadsheet, then select Insert > Recommended Charts. Excel will propose chart types for displaying the data you have selected.
PowerPoint 2016
New Chart Types
- Select Insert > Chart to see new options for chart types, including ‘Treemap’, ‘Sunburst’, ‘Box & Whisker’ and ‘Waterfall’.
A Better Help Feature
Most Office 2016 software presents an option next to the ribbon menu titles that states, Tell me what you want to do. Here you can type any description to obtain the command that performs that action.
