Third Party Requests for Personal Information

In certain circumstances an employee may receive a request from a third party for salary or job information such as a bank or an insurance company. Responding to these requests is mainly the responsibility of the Public Service Pay Centre; however, on occasion (when job duties/responsibilities are requested) the immediate supervisor will need to complete a portion of the document. Should the request be to simply confirm employment please refer to the glossary item Confirmation of Employment letters as this can be done by the manager.

Employee Responsibilities:

  1. You need to provide your manager with a copy of the 3rd party request for personal information only if the duties and/or responsibilities of the position are requested. Once the manager completes their portion of the document, it will be returned to you.
  2. It is your responsibility to submit the form(s) along with a PAR to the Public Service Pay Centre for completion in its entirety.
    • Section 1: Enter Employee Information
    • Section 2: Work Type “Communication with 3rd parties”
    • Section 3: Select Sub Type “Communication with 3rd parties”
    • Effective date: Is the date you submit the request
    • Section 4: Requestor (enter your information)
    • Comments: Clearly identify your request. Example attached is a request from my XXX for further information pertaining to my employment.
    • Section 5: NO Trusted Source is required for 3rd party requests.
  3. To check on the status of your request with the Public Service Pay Centre you can verify through the Compensation Web Application MyGCPay.

Manager / Section 34 Manager Responsibilities:

  1. Upon receipt of a 3rd party request for personal information, you are responsible for completing the job information section (duties/responsibilities of the position). This portion of the form needs to be completed before the remainder of the document is sent to the Pay Centre.
  2. Once your section is complete return the document to the employee so they can submit it to the Public Service Pay Centre for completion in its entirety.
